The lady must be hold a British passport and be employed full or part time by a company in the Cogent footprint, Pharmaceuticals, polymers, Petrochemicals, Oil and Gas, Nuclear and Lifescience. 2. Is there any limitation to the size of the company or number of ladies in the company? Any size of company is eligible for a grant, and we would wish to discuss the number of ladies to make sure we can help as many as possible. If your company has different sites you may need to fill in an employer form for each site. 3. What courses are eligible for grant? The course can be any course that is of value to the ladies overall progression but must start after June 6th 2011 and complete before mid March 2012. If a course is longer than this schedule modules within it may be considered for grant if they can be separately invoiced and separately shown to have taken place (either by an attendance letter for the lady or a certificate of completion. The course can be by a provider chosen by the employer or a provider can be found for the employer via the academy networks. 4. When can an employer register for the grant? An employer can register on the grant program with immediate effect. 5. When will registrations for the grant close? The registrations will close as soon as we have all the numbers, or in February 2012 latest. How much is the grant and how is it calculated? Individual ladies in a company: If there is only one lady being put forward in the company then the grant is calculated on her information alone. Grant is calculated on the costs as shown below. An employer can claim the cost of the course (not including VAT), the cost of the ladies time on the course, travel and subsistence up to 15% of the overall cost, and the cost of a mentor should one be needed. The maximum grant that can be offered for that lady is 600. (Note particularly that for an individual lady in a company the grant is paid on completion of the course and receipt of closure paperwork and evidence). Example 1 for a single lady in a company getting maximum grant 12 day course cost (-VAT) = 999 Learners time 12 days at 62/ day = 744 3 days mentor time 150/day = 450 Subsistence cots = 48 Total cost = 2241 (Eligible for full grant 600) Example 2 for a single lady in a company getting maximum grant 1 day course cost (-VAT)= 300 Learners time 1 day at 62/ day = 62 Subsistence cost = 10 Total cost = 372 (Eligible for partial grant 186) Multiple ladies in a company: If there are several ladies in the company being put forward for training then they can be put onto a company training plan. Simply this means that if the two ladies above worked for the same company then we could combine the two and in that case adding 2241 and 372, we could award full grant to both ladies in the company. (Note particularly that for several ladies in a company, if the grants are combined as above, the grant is paid only on completion of the final ladies course and receipt of closure paperwork and evidence). Male training: If the company has a course that it wishes to run and there are ladies as well as men, the award can still be made. If the course cost 4000 and there were 2 ladies and two men attending, then the course would be costed a 2000 (e.g. the amount paid for the ladies only). Once a company is interested what do they need to do? The company and the lady must be prepared to fill in some paperwork both at the start of the program and the end of the training. For the lady there is some personal information, but none of the forms are difficult. The forms are attached. There are three forms for startup which can be filled in either by hand, or on the computer. Originals with signatures are required by the Cogent Warrington Office. Form 1 Company Enrolment Form Employer fills in usually a manager or HR Form 2 Individual Company Training plan Employer fills in usually a manager or HR Form 3 Learner Enrolment Form Lady fills in If a mentor is to be used, a statement from the employer of the mentors salary is needed. There is help available at Cogent to explain the forms should this be needed, either through the central contact number 01925 515 232, or via the Cogent country leads. How will I know how my application is progressing? Julia Bennett and Melanie Welch will keep the lead person in the company informed at all stages of the company progressing through the process. An offer of estimated grant will be made within 5 working days of receipt og original forms, but an estimate can also be given verbally if all the cost data is available, if this will be of help. What happens if the lady cannot complete the course for any reason or drops out? In this case the employer should inform the Julia Bennett or Melanie Welch or the country lead of this as soon as possible, and no grant can be offered to that lady. If the company can replace the lady then this may be acceptable, or the number goes back into the pool for reassignment. What happens if the lady changes to a different course with the same provider? In this case the employer should inform the Julia Bennett or Melanie Welch of this as soon as possible. A new grant will be calculated and a new form 2 required to be filled in. There are options here to suit the employer and yourself. There are two completion forms to be filled in, one by the company and one by the lady. Help is available centrally if it is needed. Once the course is complete these forms will be sent to the company automatically. Completion forms: Form 4. Completion of Individual Company Training Plan This is filled in based on form 2 by Warrington using original costings. It can be changed by the employer if for example the cost of the course changed or travel and subsistence was different from estimated. It must be checked and signed by the employer. Form 5. Learner Completion Form This is filled in by the lady to describe the outcomes for her of the training. Evidence of completion: As well as the forms, evidence of completion is required. The following needs to be sent with the forms to the Warrington office. Copy of the provider invoice Travel and subsistence claim evidence, eg photocopy of train ticket Copy of certificate of completion from provider or signed letter from provider indication learner completed the training and on what date. Original letter signed by mentor if used indicating numbers of days the lady was mentored and mentors salary confirmed. What happens after completion? In the case of an individual lady in a company the grant will be finalised based on the completion forms and a cheque sent to the employer within 10 days. In the case of a company plan where several ladies took part, a letter will be sent confirming arrival of the paperwork and where appropriate a Cogent completion certificate but the grant cheque will not be paid until the final lady on the plan has completed the full process.
